πΉ Overview
The Element Directory is your central repository where you can store and manage:

Articles (product components, materials, parts)
β
Media (images, videos for visual guidance)
β
Data Sets (structured inputs such as serial numbers, measurements)
β
Attachments (PDFs, documents, additional files)
Instead of manually entering the same data in multiple work instructions, the directory allows you to reuse existing elements, saving time and ensuring consistency.
π Managing Your Directory
π© How to Manage Articles
Articles represent physical items used in your work instructions. You can manually add articles or bulk import them via CSV.
Option 1οΈβ£: Create an Article Manually- Navigate to Management > Element Management > Articles
- Click "New Article"
- Enter article details:
- Article Name (e.g., RFID Reader)
- Article Number (e.g., 123456)
- Optional: Attach an image, category, or tags
- Click "Save"
π Tip: Use article numbers to link components with barcode scanning for faster selection.

Option 2οΈβ£: Bulk Import Articles via CSV
- Navigate to Element Management > Articles
- Download the CSV template by exporting the existing list
- Format your CSV file to match required fields
- The row "ambos_article_id" is left blank, as this is the identifier our system assigns automatically
- The row ambos_article_number is used to give the article an article number (e.g. from you ERP system)
- The row ambos_name contains the article name that should be diplayed within the app
- Every
row after that is optional, to fill out additional article attributes. (e.g. article color, article weight, second identifier, distributor number etc.)

- Click on "Import Article List"
- Select what should happen if an article pre-exists for an article number or ID. One can select from:
- Skip pre-existing articles
- Overwrite articles with new information
- Ask for each article
- Upload the CSV file and confirm the import
π Tip: Always export an article list first to ensure correct formatting before import. The first three rows have to be in the same order and with the exact naming, as they are obligatory fields.

π· How to Manage Media (Images & Videos)
Images and videos provide step-by-step visual support in work instructions.
Option 1οΈβ£: Upload single file from file system- Navigate to Element Management > Images OR Videos
- Click "Create"
- Select a file from your computer
- Click "Save"

Option 2οΈβ£: Bulk upload folder from file system
- Click "Upload Folder"
- Select a folder from your computer
- The selected folder must contain only the selected file type (either only images or only videos)
- Click "Save"
Option 3οΈβ£: Upload from your mobile device via QR Code scan
- Navigate to Element Management > Images OR Videos
- Click "Upload vie Mobile"
- Scan the QR Code with your mobile device
- Follow the instructions on your moble device
- Select files from your mobile device
- Click the send button (arrow)
π Tip: Keep file names descriptive (e.g., "PCB_soldering_step1.jpg") for easier identification.

Optional: Edit your images within SETAGO
- After Uploading the image click on the edit icon
- Click "Edit Image"
- On the left navigation bar select "Annotations"
- Add forms or text to your image
- Save by clicking "Done" on the upper-right corner
- Save the edited image

β¨οΈ How to Manage Data Sets
Data sets contain of one ore multiple data elements. Data elements are input fields in different formats and styling. They are used to capture numeric values, serial numbers, or custom input fields in work instructions.
Step 1οΈβ£: Create a Data Element- Navigate to Element Management > Data Sets
- Click "New Data Set"
- Select from one of the templates in the left menu
- Free input field
- Numeric field (only digits)
- Alphabetic field (only letters)
- Single choice
- True/False selection
- Image Input/ Upload
- Signature input
- Enter:
- Data Name (e.g., Torque Measurement)
- Data Description (optional: only for internal memo)
- Optionally you can select predefined values, so the worker can choose from these options
- You can define a suffix for the input field, which will be shown to the worker (e.g. one should put in the measured temperature. the data element would be numeric field with the suffix "in Celsius" or "in Fahrenheit")
- Optionally define a validation based on the length of the input. (e.g. one should put in the serial number of a part. Your company has a standard length of 8 characters for its serial numbers. This can prevent typos, if someone tries to put in a serial number with 7 characters)
- Click "Save"
π Tip: Enable validation rules to prevent incorrect data entry.

StepΒ 2οΈβ£: Create a Data Set
- Navigate to Element Management > Data Sets
- Click "New Data Set"
- Enter:
- Data Name (e.g., Torque Measurement)
- Data Description (optional: the description will be shown to the executing employee within the instruction)
- Select data elements, which should be included within the data set
- Click "Save"

π How to Manage Attachments
Attachments allow you to link external files like PDFs, manuals, or compliance documents to work instructions.
Option 1: Upload a single attachment file- Navigate to Element Management > Attachments
- Click "Create"
- Select a PDF or document from your computer
- Click Save
Option 2: Upload an attachment folder
- Navigate to Element Management > Attachments
- Click "Upload Folder"
- Select a folder from your computer
- Please note that the folder only contains attachment file types (pdf, ppt, xlsx, word etc.)
- Click Save
π Tip: Use attachments for regulatory compliance guidelines, user manuals, or reference documents.
